For the purposes of the GDPR, iWise2eBusiness Limited, or trading as kokm is the 'controller' and 'processor' of the personal data you provide to us via this website but may be either processor or controller or both for other iWise2eBusiness Limited or 'kokm' (kokm Digital Experience Platform – kokm DXP) products and services offered to our clients. For ease of use in this Policy the term iWise2 means iWise2eBuinsess and/or kokm websites.

iWise2eBusiness Limited owns and operates various websites. This Policy, together with our website's terms of use and any other documents referred to in them, sets out the basis on which iWise2 processes personal data via our websites.

Scope of the On-Line Privacy Statement

This iWise2 Online Privacy Statement applies to all data collected by iWise2 through its own websites and services. It applies to all iWise2-kokm websites that display links to this statement or display this statement. Any iWise2 website that does not display a link to this statement or displays this statement will have its own online Privacy Statement and is not covered by this Policy statement.

Where iWise2 provides websites and platforms to its clients the client will be the Data Controller and responsible for the Privacy Policy of that website or platform and iWise2 will discharge its obligations as a Data Processor for that provisioned service unless otherwise contractually agreed.

What personal data do we collect?

iWise2 may through its websites collect and process personal data and can ask you to provide personal information to us.

This information is usually collected when you provide information to us, if you:

  • complete a webform on our website.
  • complete a survey.
  • correspond with us by phone, chat, e-mail, or in writing or via another electronic medium.
  • report a problem and/or use reporting software/services supplied by iWise2 to its clients.
  • sign up to receive our communications.
  • create an account with us.
  • enter into a contract with us to receive products and/or services.

We may collect the following types of information:

  • Title, Name and initials, Address, Postcode.
  • Contact details such as email addresses and telephone numbers.
  • Additional fields of information requested in the above may ask for preferences or demographic or geographical information such as interests, business sector, company worked for, business role so that we can better understand how to cater to our customers.

If you are using one of our websites that includes an online eCommerce cart then in the purchasing and checkout process, we may also request your billing address and/or invoice address, along with any other pertinent personal information enabling you to complete the purchase. We do not store sensitive financial information such as your credit card number. When you complete an order on one of our eCommerce websites your full payment details including credit card number are only sent through a secure 256-bit SSL encrypted connection to our payment provider. We do not send this information anywhere else, nor do we collect or store it.

To access an iWise2 subscription service, or to purchase products such as eBooks, courses, videos, etc you will be asked to register with an email address, username and password and/or other related typical personal information e.g. name. This collection of information forms an iWise2 Account Identity to assist us with the commercial processing of your order and the delivery of the product.

iWise2 also uses the iWise2 Account Identity to allocate a uniquely identify your actions and purchases and associate them with your credentials and associated information.

Information we collect about you

If you visit our website, we may automatically collect via our various website technologies and supporting website analytical software such as Google Analytics the following information:

  • Information about how you found our website, the use of keywords in searching and navigation around the site and pages viewed. We may use technologies such as cookies or web beacons to collect information on pages viewed and links clicked on. This information is anonymous and is not tied to any personal information you may provide us with. We collect this information to improve the customer experience of our websites.
  • Additionally, iWise2 may collect standard technical information that your browser sends to all websites you visit like your Internet Protocol (IP) address, login information, browser type and version, access time and time zones settings, browser plug-in-types and versions, operating systems and platform information and referring websites information.
  • Information about your visit to our websites such as the products and/or services you searched for and viewed, keywords used, interests you may have expressed or entered during webform completion, subscription information or requests, responses to promotional questions or materials, page response times, download success indicators, length of visits to certain pages, page interaction information (such as scrolling, clicks, navigation movements and selections and mouse-overs), and methods used to browse away from the page may be collected to help us understand use of our websites and improve customer service.
  • iWise2 may also deliver advertisements and iWise2 may collect via website analytics information about the clicks on these advertisements and websites visited whether inside the iWise2 website or on third party websites.
  • iWise2 may collect information to send you emails for administration or promotional reasons along with communications such as newsletters providing that you have opted in for such communications. Newsletters and other such communications and promotions can be unsubscribed from by you opting out of their delivery.

Collection and use of children's personal information

iWise2 may have websites, products, and services intended for general audiences and as such are generally available to the World-Wide-Web (WWW) – The Internet, and we do not knowingly collect any personal information from children for iWise2's own websites. Websites provided to our clients will see our clients defining the Privacy Policy for those sites as the Data Controllers and thereby cater appropriately for the needs of providing services to Children. Please note that if you grant consent for your child to use iWise2 products and services, this will include such general audience communication services as e-mail, instant messaging, and online groups, and your child will be able to communicate with, and disclose personal information to, other users of all ages. Parents can change or revoke the consent choices previously made, and review, edit or request the deletion of their children's personal information.

We encourage you to talk with your children about communicating with strangers and disclosing personal information online. There are various internet sites that can assist you regarding using the Internet safely.

Information we receive from other sources

We may also receive information about you if you use other websites we operate or the other products or services we provide.

If you are connected to iWise2 - 'kokm' products or services via a Single Sign On or other integration method (usually by being part of our clients' use of a website provided by iWise2 via a contracted arrangement) we may also receive information about you or pass information about you and your interaction on iWise2-kokm from or to the source of the contractual arrangement e.g. an integration for example with your employer's other IT (Information Technology) systems. Such information will be passed in accordance with the agreement of the organization purchasing the iWise2 products and services which you have used and in accordance with Privacy Policies and Terms and Conditions that meet the needs of GDPR and/or governing laws and will be provided by iWise2's clients in their Privacy Policy.

Information about other people

If you provide information to us about any person other than yourself, such as your relatives, friends, contacts, next of kin, business colleagues or partners, your advisers or your suppliers, related companies, etc you must ensure that they understand how their information will be used, and that they have given their permission for you to disclose it to us and for you to allow us, and our outsourced service providers, to use it.

Sensitive personal data

We do not intend to collect sensitive personal data from you (that is, information about your racial or ethnic origin, political opinions, religious beliefs, trade union activities, physical or mental health, sexual life, or details of criminal offences, or genetic or biometric data). We will only do so based on your explicit consent.

Where this is necessary for purposes which are in our, or third parties, legitimate interests.

  • providing you with newsletters, surveys, information about our awards and events, offers, and promotions, related to products and services offered by kokm which may be of interest to you.
  • communicating with you in relation to any issues, complaints, or disputes.
  • improving the quality of experience when you interact with our products and/or services, including testing the performance and customer experience of our website.
  • performing analytics on sales/marketing data, determining the effectiveness of promotional campaigns.
  • send you newsletters, surveys, information about our awards and events, offers, and promotions, related to products and services offered by kokm, which may be of interest to you.

Who do we share your personal data with?

We may share your personal data outside iWise2eBusiness Limited, trading as kokm in accordance with the paragraph below:

We take all reasonable steps to ensure that our staff protect your personal data and are aware of their information security obligations. We limit access to your personal data to those who have a genuine business need to know it.

We may share your personal data with trusted third parties including:

  • legal and other professional advisers, consultants, and professional experts.
  • service providers contracted to us in connection with provision of the products and services such as providers of IT services and customer relationship management services; and
  • analytics and search engine providers that assist us in the improvement and optimisation of our websites.

We will ensure there is a contract in place with the categories of recipients listed above which include obligations in relation to the confidentiality, security, and lawful processing of any personal data shared with them.

How long will we keep your personal data?

Where there is a contract between us, we will retain your personal data for the duration of the contract for the purposes for which we obtained it in accordance with this Privacy Policy and to ensure we are able to comply with any contractual, legal, audit and other regulatory requirements, or any orders from competent applicable laws, courts or authorities after which we will securely delete it.

Where you receive marketing communications from us, you may change your preferences or unsubscribe from marketing communications at any time by clicking the unsubscribe links where they are available or contacting us via Webforms or other direct email contact methods.

Where do we store your personal data and how is it protected?

We store your personal data in secure data centres in the UK or European Union for this website and by default for all iWise2's-kokm's products and services. We may store information in other geographical locations where expressly requested, consented to and agreed through contractual arrangements with purchasers of iWise2's products and services. We take reasonable steps to protect your personal data from loss or destruction. We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Where you have a username or password (or other identification information) which enables you to access certain services or parts of our websites, you are responsible for keeping this password confidential. We ask you not to share a password with anyone and regularly update and change the password.

Unfortunately, the transmission of information via the internet is not completely without risk. Although we will do our best to protect your personal data, we cannot guarantee the security of your personal data transmitted to our websites; any transmission is at your own risk. Once we have received your personal data, we will use strict procedures and security features to try to prevent unauthorized access.

How secure is my Personal Information?

iWise2 is committed to protecting the security of your personal information. We use a variety of security technologies and procedures to help protect your personal information from unauthorized access, use or disclosure. For example, we store the personal information you provide on computer systems with limited access, which are located in controlled facilities meeting the highest international standards. When we transmit highly confidential information (such as a credit card number if the iWise2eBusiness Limited kokm product or service offers that capability) over the Internet to our payment processor, we protect it through the use of the Secure Socket Layer (SSL) protocols protecting data in transit across the internet.

Only your username may be displayed publicly via the forums. Account passwords are encrypted. Other account details are only accessible to iWise2eBusiness limited administration and approved personnel for troubleshooting and account management and assistance purposes.

To minimize the loss, corruption, or misuse of personal information we conduct automated password protected backups of our databases. We also conduct regular tests, industry-standard vulnerability scans and virus scans to increase security. We strive to continually update and manage our source code, operating system, and server software. In addition, we enlist the services of a secure datacentre with physical data protection policies and firewalls.

If a password is used to help protect your accounts and personal information, it is your responsibility to keep your password confidential. Do not share this information with anyone. If you are sharing a computer with anyone you should always log out before leaving a site or service to protect access to your information from subsequent users.

Accessing your personal information

If you are using an iWise2-kokm product that allows you to log in to the product or service, you may have the ability to view and or edit your personal information online. In order to help prevent your personal information from being viewed by others, you will be required to sign in with your credentials (e-mail address and password as a minimum) or via another contracted method e.g., a client's system integration and Single-Sign-On (SSO) arrangements. The appropriate method(s) for accessing your personal information will depend on which sites, products or services you are using.

Some iWise2-kokm sites or services may collect personal information as described above that is not accessible via the clickable links on the website or platform. However, in such cases, you may be able to access that information through alternative means of access described by the product or service e.g. from our client to whom we provide the iWise2-kokm website and services i.e. the Data Controller or equivalent. An example of this would be your employer if you are accessing an iWise2-kokm product or service provided to your employer. Alternatively, you can email or write to us, and we will contact you within 30 days regarding your request. Each individual can have one copy of their personal records for free where we act as the Data Controller; however, if you request multiple copies, we may need to charge you a fee of £70. Where an organization is requesting data, dependent on the data required, we may need to charge a fee.

Requesting information on the personal information that iWise2ebusiness Ltd holds on you when the iWise2-kokm product is directly provided to you as an individual, please complete the Data Request Form otherwise please contact the direct provider of the iWise2-kokm product which you are using e.g., your school, the provider of the service or your employer.

Promotional Material and Communications

iWise2 offers the ability to stop the delivery of promotional email, and you will be able to choose and modify the methods of communication that you would prefer iWise2 uses for promotional communication.

These choices will not apply to the use of online advertising display within the iWise2eBusiness Limited kokm websites, products, and services. They also do not apply to the receipt of mandatory service communications from iWise2eBusiness Limited-kokm products and services that iWise2 consider mandatory to its service offering or maintenance. You will receive these communications periodically unless you have canceled the service.

Advertising display

iWise2 websites may display advertising from iWise2 or one of our affiliates or partners.

When we display online advertisements to you, we will place a persistent cookie on your computer to recognize your computer each time we display an advertisement to you. Because we may serve advertisements on many different Web sites, we are able to compile information over time about where you, or others who are using your computer, saw and/or clicked on the advertisements we display. The use of Cookies

iWise2 Web sites use "cookies" to enable you to sign in to our services and to help personalize your online experience.
